My client is a leading dry hire and complete multi-location production solution provider nationwide.
With access to over 20,000 items of equipment and an extensive range of divisions the company aim to give their customers a unique and seamless broadcasting experience.
Purpose of the role:
The Crew Co-ordinator is responsible for managing and updating the freelance crew database, scheduling and booking crew for broadcast jobs and arranging travel and accommodation as necessary. He/she is also responsible for providing on-going administrative support to the Hire Desk and Sales Team.
Key Responsibilities:
Selecting crews for projects:
• Maintaining the Freelance Database
• Liaising with freelance crew to ensure all details on file are up to date, including but not limited to: passport information, copies of insurances
• Ensuring freelance data is held in compliance with the data protection act
• Setting up new Freelancers onto the systems and ensuring all necessary paperwork is complete and approved before utilising them
• Sourcing and booking available freelance crew, taking into account rates, job location and relevant expertise of crew
• Liaising with customers to obtain relevant security passes/clearance for projects
Assisting Project Leaders with specific broadcast projects
-Occasionally co-ordinate crew and visitors on site, produce call sheets, ensure things are running smoothly and organising accreditation where relevant
-Booking travel and accommodation for crew
Administrative tasks:
-Raising and changing Purchase Orders using the R2 computer system
-Processing invoices
-Assisting in the production of project quotes and the completion of tender documents for clients
-General administration such as maintaining project spreadsheets
-Supporting the Hire Desk and Sales Team with general administrative tasks
-Answering the telephones and taking messages during busy periods
Person specification:
Essential:
-Experience of resource (people) planning and work scheduling
-An excellent communicator via email, telephone and in person
-Organised and able to prioritise effectively
-Flexible and reliable
-Have the ability to remain calm under pressure
-A good team player
-Quick learner and self motivated
-Computer literate (Excel, Word & Outlook) and experience of working with databases
-Excellent interpersonal skills
-Comfortable working to tight deadlines
-Good standard of English and Maths
-Good attention to detail
Desirable:
-Knowledge of using financial computer packages
-An interest or knowledge of large sporting events
